Terms of Use
Last updated: July 2026 · Version 1.1
These Terms of Use govern the relationship between the provider of barcamp.io (hereinafter the „Provider“, „we“) and the persons who create a user account or post content on the platform (hereinafter „User“, „you“). By registering an account you agree to these terms in their respective applicable version.
1. Scope and Provider
barcamp.io is a web application for planning barcamps, unconferences and open space events. The provider and controller is:
Gerhard Wagler MedienproduktionGerhard Wagler
Tinsdaler Kirchenweg 265
22559 Hamburg
Germany
E-mail: gerhard@wagler.media
These terms apply to the use of accounts and profiles as well as to the posting of user-generated content. Anonymous use of the public event pages without an account remains unaffected.
2. Description of Services
- Use of barcamp.io is free of charge for participants.
- An account is optional. Sessions can still be submitted anonymously via the free-text field „Name“; an account merely adds an optional link to a profile.
- With an account you can maintain an optional public profile (display name, username, short description, profile picture) and assign your sessions to your profile.
- There is no entitlement to any particular availability or specific range of functions. Features may evolve over time.
3. Registration, Account and Passwordless Sign-in
- Sign-in is passwordless: either via Google (OAuth) or via a one-time sign-in link sent by e-mail („magic link“). No passwords are stored or processed.
- You warrant that you provide truthful information when registering and that you use an e-mail address at your disposal.
- As a matter of principle, one account is intended per person. Sign-in links are personal, single-use and valid for a limited time only; they must not be passed on.
- You are responsible for adequately protecting access to your e-mail inbox and your Google account.
4. User-Generated Content and Grant of Rights
„User-generated content“ means all content you post, in particular session titles and descriptions, ratings and comments (feedback), your profile text (bio) and your profile picture (avatar).
- You retain all rights to your content. To the extent permitted by law, you grant the Provider a non-exclusive, unlimited in territory and time, and irrevocable right of use for the purpose of technically storing and displaying your content within the service (e.g. on public profile and event pages). Mandatory statutory rights remain unaffected: you may modify or delete your content yourself at any time and request the deletion of your account and your personal data (right to erasure under Art. 17 GDPR; right of revocation under sec. 42 German Copyright Act (UrhG)).
- The right to erasure relates to personal data. Content already published β in particular sessions you submitted as well as ratings and comments (feedback) β may instead be retained in anonymised form, separated from the account; to that extent, anonymisation satisfies the erasure claim. The comment or description text itself is not automatically altered in the process. If such a text contains personal information, please modify or delete it yourself before deleting your account.
- You warrant that you hold the necessary rights to the content you post and that it does not infringe any third-party rights (in particular copyright, trade mark, personality or data protection rights). This applies in particular to profile pictures.
- The Provider does not adopt user-generated content as its own. Editorial processing or prominent promotion of individual user content does not take place. Subsequent anonymisation likewise does not mean that the Provider adopts the content as its own; it continues to constitute user-generated content.
5. User Obligations and Impermissible Content
In particular, it is prohibited to post content that
- violates applicable law or is punishable by law,
- infringes third-party rights (copyright, trade mark, personality rights),
- is insulting, discriminatory, inflammatory, harmful to minors, pornographic or grossly offensive,
- contains malware, executable code or unsolicited advertising („spam“).
In free-text fields (in particular the bio), links and HTML/SVG code are technically not permitted and are removed or neutralised on the server side. Profile pictures are limited to the JPEG, PNG and WebP formats.
6. Reporting Unlawful Content and Moderation
Every item of user-generated content (bio, profile picture, session) carries a reporting function. Through it you can report content to us that you consider unlawful or in breach of the rules (stating a reason and, optionally, a comment).
- Precautionary deactivation: If content that has not yet been reviewed is reported for the first time, it may be hidden as a precaution pending review.
- Review: We review reported content promptly and decide on restoration or removal.
- Notification and objection: If content is deactivated or removed, we inform the person who posted it, stating the reason, and point out the possibility of objecting. Please address your objection to the contact address given in section 1.
- Protection against abuse: Content that has already been reviewed and restored is not automatically deactivated again by further reports. The reporting function must not be used abusively.
7. Responsibility for Content
The person posting user-generated content is responsible for it. As a service provider, the Provider is not obliged to proactively monitor posted content without specific cause. Upon obtaining knowledge of unlawful content, we will promptly remove it or block access to it.
8. Availability and Warranty
The service is provided with reasonable care, but without any assurance of a particular availability. Maintenance work, disruptions or further development may lead to temporary restrictions. A service provided free of charge does not give rise to any entitlement to uninterrupted operation.
9. Term, Termination and Account Deletion
- You may delete your account yourself at any time. In doing so, your personal data is deleted or anonymised; sessions you submitted may be retained in anonymised form.
- If you are the sole responsible person („owner“) of an event, you must first transfer this role so that no event is left without a responsible person.
- The Provider may block or delete an account in the event of serious or repeated breaches of these terms.
Details on the processing and deletion of personal data can be found in the Privacy Policy.
10. Changes to These Terms of Use
These terms carry a version status. We may adapt them, for instance in the event of changes to the range of functions or the legal situation. In the case of material changes, you will be asked to consent again to the current version the next time you sign in. The applicable version is always available on this page.
11. Applicable Law and Final Provisions
The law of the Federal Republic of Germany applies, excluding the UN Convention on Contracts for the International Sale of Goods. Mandatory consumer protection provisions of the state in which you have your habitual residence remain unaffected.
Insofar as you are a merchant, a legal entity under public law or a special fund under public law, or have no general place of jurisdiction in Germany, the place of jurisdiction for all disputes arising out of or in connection with these Terms of Use is Hamburg. Vis-Γ -vis consumers, this jurisdiction agreement applies only to the extent that mandatory statutory provisions do not preclude it.
Should any provision of these terms be invalid, the validity of the remaining provisions remains unaffected.
12. Terms for Organisers of Public Events
The following additional terms apply to organisers of public events on barcamp.io. They are agreed upon submission of the event or during personal onboarding.
For all public events
- Public archive: After the event has ended, the session plan is frozen and remains permanently publicly accessible as documentation of the event; subsequent additions (e.g. photos or materials relating to sessions) remain possible. Section 4 (user-generated content) as well as the rights of data subjects to erasure or anonymisation of personal data remain unaffected.
- Attribution: The event pages indicate that they are operated with barcamp.io. Removal of this notice (white label) is not available in the basic tier.
- Warranty of rights: The organiser warrants that it holds the necessary rights to the name and logo of the event, insofar as these are used in the context of the reference listing.
Additionally for free public events
- Reference listing: The organiser grants the Provider a non-exclusive, territorially unrestricted right of use to name the event's name and logo as a reference, in particular on the Provider's website and in its marketing materials. Until the start of the event, the organiser may object to the reference listing informally; upon the start of the event the right of use becomes irrevocable. In justified cases of hardship (e.g. cancellation or renaming of the event), the Provider will remove reference listings upon request at its reasonable discretion; there is no entitlement to this after the event has started. Decisive for the reference listing is the state of the name and logo stored at the start of the event. If the organiser objects before the start of the event, the basis for the free provision ceases to apply; the Provider may then discontinue provision or submit an individual offer.
For public events with ticket sales
- Reference listing with right to object: By default, the Provider may name the event with its name and logo as a reference. The organiser may object to the reference listing informally at any time; the Provider will then remove the listing promptly. There is no irrevocable commitment as in the case of free events.
Voluntary support: A backlink to barcamp.io as well as feedback on the event are expressly voluntary for all organisers and are not a condition of use.
